Turn a call, app chat, email or branch report into a traceable complaint and know what to retain before escalating.

A conversation with customer care is not always the same as a complaint recorded in the bank’s tracking system. Before ending the call, chat or branch visit, ask for the complaint reference and repeat it back to confirm that it is correct.

The reference keeps later follow-up connected to the original event. It also helps demonstrate that the financial institution received the complaint before a regulator is asked to intervene.

Prepare one clear issue statement

Write one sentence explaining what happened and what outcome you need. Add the date, amount, channel, transaction reference and account-safe identifying details. Remove unrelated screenshots and never attach a PIN, password, OTP or full card security information.

Ask for these four things

  1. The unique complaint or tracking reference.
  2. The exact issue category recorded by the institution.
  3. The date the complaint was opened.
  4. The response period or next update date communicated for that case.

Save a screenshot or email where possible. For a phone report, write the reference, time and support channel in a private note.

Follow the same case instead of opening many

Quote the original ticket during every follow-up. Add new evidence to that case and ask what stage it has reached. Multiple unrelated tickets for one transaction can make it harder to understand whether an answer belongs to the original event.

Using the CBN complaints portal

The CBN portal instructs consumers to complain to the financial institution first, obtain its reference, allow time for the institution to upload the complaint and then use the tracking details on the portal. Follow the current instructions displayed there rather than relying on a remembered timeline.

What an escalation should contain

  • Your contact information and the name of the regulated institution.
  • A concise chronology of the disputed event.
  • The amount claimed, where applicable.
  • The institution’s complaint reference and evidence of first reporting.
  • The response received or evidence that the stated period passed.
  • A specific, reasonable requested outcome.

The CBN’s Complaints Management page says consumers should contact their institution first and explains the information required in an effective complaint. Read that page for the currently stated escalation timing.

A simple private follow-up log

Record the issue, institution, ticket, date opened, promised update date and latest response in one note. Each time you contact support, add the date and outcome without rewriting the original facts. This creates a readable chronology if another reviewer later handles the case.

Mark a complaint complete only when the balance, service, refund or written explanation matches the requested outcome. A promise to “check it” is an update, not final resolution. Keep the closing message with the original evidence.
